Auto approval - new feature related to user management

Auto-approval rules let you automatically approve certain transactions your team sets up. A transaction that matches an active rule is approved and sent, without waiting for your manual approval.

Only account holders can create and manage rules. Users can't see or change them.

Rules apply to transactions that users set up, so they only take effect once at least one Contributor has access to your account.

Rules can approve payments to contacts and withdrawals to bank accounts that a Contributor user sets up. You can automatically approve up to 10,000 USD (or equivalent) per transaction. Batch payments aren't included.

1. Go to Settings > Auto-approval rules and select Create rule.

2. Enter the maximum amount to approve per transaction, choose the currency and transaction types, and name your rule.

3. Optional: if you have contacts, you can turn on Limit auto-approval to specific contacts. This is only available when the rule includes payments to contacts.

4. Select Next, check your rule, then select Create and activate rule.

The rule is active right away and applies to new transactions that match it.

You can have up to 5 active rules at a time.

Not at the moment. To change a rule, you need to deactivate it and create a new one. Deactivated rules stay in your list, so you can activate them again later.

On the Transactions page, open the transaction and go to Approval details to see the rule name and who set it up.

No. A transaction that a rule approves is sent like any other approved transaction.

Users can't see your rules, and their view of a transaction doesn't show that a rule approved it.

No. A rule applies to transactions set up after it's active. Anything already waiting for your approval still needs your review.

A transaction waits for your approval if it doesn't match any of your active rules. For example, when:

  • The amount is above the rule's maximum amount per transaction
  • It comes from a balance in a different currency than the rule
  • Its type isn't included in the rule, or it's a batch payment
  • It's a payment to a contact who isn't on the rule's list of specific contacts
  • It was set up before the rule was active, or while the rule was inactive
  • There weren't enough funds in the balance when the transaction was checked
